Customer Service Specialist

JOB TITLE: Customer Service Specialist

Provides our customers awesome service by eliminating perceived indifference.

Under supervision of the Administration Manager

  1. Verifies completed Sales Orders,
    1. Collects Purchasing’s copy, the packing list, and shipping paperwork if needed, stapling them together.
    2. Tallies the final charges.
    3. Updates the computer with final charges.
    4. Calls the customer for pick up.
    5. Handles Back Orders and other miscellaneous orders.
  2. Greets customers as they enter the building, directing them accordingly.
  3. Handles all pickups and collects money for CODs.
  4. Checks on the status of orders for customers and team members via telephone or in person.
  5. Writes receipts and maintains the cash box.
  6. Assists, as needed, in answering the switchboard or overflow calls.
  7. Maintains the pickup wall and continues to contact customers, working with Sales Representatives when necessary.
  8. Completes other miscellaneous tasks such as, but not exclusive to, disbursing incoming faxes, reviewing the production schedule, communicating with Sales Representatives and Production on “must” orders, and maintaining the pick up book.
  9. Cross trains within the department.
  10. Maintains the flexibility to perform related work as required.



Education/Experience: Sufficient formal or informal education to assure the ability to write well, work well with the public and to use simple business math at a level required for successful job performance.

  1. Possession of a high school degree, and/or
  2. Three years of work experience in a customer service capacity.

Knowledge of: Operation of computer software; correct English usage, spelling, grammar, and punctuation; office practices, procedures, and equipment.

Skill at: Responding to customers and team members in a professional and pleasant manner; operating computer and computer software; entering data; locating information; making copies; proof reading; taking accurate messages and documenting information: handling money and performing routine clerical work; learning to operate office equipment and learning office procedures; recognizing and maintaining confidentiality of work materials as appropriate and working independently in the absence of supervision.

Essential Job Function: Must be able to lift 50 pounds.
